Overview:

Under the supervision of the Radiation Oncology Program Resource Coordinator, the incumbent is responsible for secretarial support for the Division of Medical Physics. Responsibilities include scheduling and organizing meetings, taking minutes, coordination of travel, preparing correspondence such as agendas and memos, data entry, preparation of purchase orders, billing, and other duties as assigned. The incumbent assists with special projects and other related duties, as required. The incumbent has the ability to coordinate workflow and meet deadlines with frequent interruptions, exercises sound judgment, maintains confidentiality, and is willing to assume a variety of assignments as required. The candidate must be a self-starter, have the ability to work independently and in a team setting with minimal supervision and be capable of carrying out the duties of this position with diplomacy, tact, and professionalism.

Qualifications:

Required:

  • Successful completion of a recognized administrative or secretarial training program from an accredited educational institution. Combination of education and experience can be considered or the equivalent in education and experience as determined by CancerCare Manitoba
  • Proof of successful completion of 40s English course or equivalent
  • Minimum one year’ experience in a secretarial position
  • Medical terminology, transcription and minute taking skills
  • Demonstrated proficiency in the use of Microsoft Office (Word, Excel, Power Point and Outlook)
  • Satisfactory employment record
  • Must be able to legally work in Canada

Will be assessed during the interview process:

  • Ability to work both independently and as a member of a multi-disciplinary team
  • Excellent interpersonal, communication, organizational, customer service and problem-solving skills
  • Ability to adapt to stressful situations
  • Ability to maintain a high level of confidentiality

Will be assessed during the testing process:

  • Written communication skills – Written composition test (70% passing benchmark)
  • Medical Terminology Test (70% passing benchmark)
  • Computer keyboarding skills of 30 wpm with high degree of accuracy

Preferred:

  • Previous experience within a health care setting
  • Experience working in a radiation oncology environment

Asset:

  • Ability to speak French
  • Previous experience with inventory control (Maintaining and ordering of supplies)

Salary: As per CUPE Collective Agreement

Minimum Language Requirements:

Applicants whose first language* is not English and who have not successfully completed a Manitoba Grade 12 40S English course or equivalent will be required to meet one of the following English language proficiency requirements:

TOEFL- a minimum of 550 (CBT-213) on the PBT (Paper-Based Test), or a minimum of 213 on the CBT (Computer-Based Test), or a minimum of 79-80 on the IBT (Internet-Based Test)

CanTest - a minimum band level of 4.5 in Reading and Listening, and 4.0 in Speaking and Writing

IEL TS - a minimum band of 6.5 in Reading, Listening, and Speaking, and a minimum of 6.0 in Writing

MELAB - a minimum final score of 80 with a minimum of 77 in Writing

CAEL- a minimum overall result of 60 with a minimum of 60 in Writing

Successful completion of AEPUCE (Academic English Program for University and College Entrance) offered through the University of Manitoba and Red River College
